FHE Athletic Boosters Club Board Positions and Descriptions

The Forest Hills Eastern Athletic Boosters Club is a group of parent volunteers voted in to office by the athletic boosters parents and participants. The club’s  general function is to assist, promote, and support all athletic programs that are active at the high school level through fundraising opportunities, help manage and distribute donations and other funds, promote the attendance and spirit at athletic events, and to encourage the involvement of parents and students during athletic department activities. 

The FHE Athletic Boosters Board is made up of a total of 7 voting positions and multiple flexible non-voting positions as needed.  Each position has a minimum term of 2 years. 

Voting Positions:  

  • President
  • Vice President
  • Secretary
  • Treasurer
  • Members at Large (3)

Non-voting positions:

  • Committee Chairs and members for the following events: 
  • Fall Hawk Rally
  • Annual Hawk Pride Golf Outing
  • Winter/Spring fundraiser as determined
  • Concessions
  • Other, as needed

Job Descriptions: 

President 

The booster club president is the chief executive of the club and the individual with the most leadership experience and availability. She or he sets the foundation for the club’s mission, oversees its development, and is expected to attend every meeting, event, and function. This individual also deals with membership issues, appointment of other leadership positions, enforcement of rules, organization of booster club meetings, and the productivity of all operations. The club president also acts as a liaison between the booster club and school administrators. The booster club president should be an individual who is inviting and willing to listen to others to sustain success. The club president should know how to make suggestions or express disapproval respectfully.

Additional duties: 

  • Organize and lead monthly or bi-monthly meetings
  • Organize and lead board meetings on an as-needed basis
  • Manage donors/sponsorships
  • Communicate with donors
  • Order and place all needed banners
  • Organize all fundraisers by creating fundraising committees as needed
  1. Golf outing
  2. Hawk Rally
  3. Winter or spring fundraiser of choice
  • Lead discussion and vote on all team fund requests
  • Communicate with coaches each season with boosters information and the need to have team boosters reps

 

Vice President: 

The VP is an executive “floater” and helps with the responsibilities of other members as needed. The vice president is also known as the “back-up-president.” If the president is unavailable, they are expected to fulfill all of the expected duties of the president.

Additional duties:

  • Oversee concessions and appoint concessions committee

 

Secretary :

The secretary is expected to record what was discussed during meetings, keep a digital documentation of all events and keep the website and social media up to date for the booster club. The booster club’s secretary’s main goal is managing information and  communication via the website, social media, and other outlets. 

Additional duties:

  • Maintain and produce content on Social Media outlets
  • Communicate with front office for Monday and Friday emails
  • Provide and record meeting sign-in sheets
  • Record meeting minutes, post and update on website
  • Create and distribute all flyers and communications as needed

 

Treasurer:

The booster club’s treasurer deals with the organization’s finances, keeping a record of finances in Quickbooks. The treasurer is expected to release funds for individual activities and approved team requests and manage the club bank accounts, PayPal account and Venmo account. 

Additional duties:

  • Create operating budget for school year in conjunction with rest of board members
  • Maintain QuickBooks
  • Manage concessions monies
  • Pay bills as needed
  • Coordinate monies to teams/coaches as approved by board vote
  • Maintain athletic account with AD
  • Manage Paypal and venmo accounts
  • Produce bi-monthly financial reports and post on website

 

Member at Large:

Assist in all other areas as needed with non-specific duties
